For athletes using the WADA online system, ADAMS (Anti-Doping Administration and Management System), Whereabouts Filings should be submitted fourteen (14) days prior to the first day of the quarter and at the latest by 23:59 on the day before the first day of each quarter (i.e. 31 December, 31 March, 30 June and 30 September, respectively).
There are four (4) Filing requirements which need to be completed.
Whereabouts Filing Requirement 1
Athletes must enter one specific 60-minute slot each day, for a specified location between the hours of 6am and 11pm where they will be available for testing.
This information must be correct at all times. If the athlete cannot be located at the venue specified within the 60-minute slot the athlete is liable for a Missed Test.
If this 60-minute slot changes it must be updated prior to the 60-minute slot commencing. This can be done using any of UK Anti-Doping’s updating services (ADAMS, SMS, email and phone line) up to one minute before the 60-minute slot begins. However if the slot is cancelled, an alternative slot must be given for that same day or the athlete may be liable for a Filing Failure.
A Doping Control Officer (DCO) may arrive at the specified location at any time during that 60-minute slot, but on arrival must then remain at the location until the end of the slot. The athlete should therefore remain at their given location for the duration of the 60-minute slot to ensure they are located for testing.
TIP: Select a venue and time that is least likely to change. Eg. A home address from 6am - 7am.
Athletes should select a location which makes it easy for the DCO to find them. It is unwise to select a large multi sport venue unless an exact location can be given.
Whereabouts Filing Requirement 2
Athletes must supply the full address of the place they regularly reside in.
It is not a requirement to provide the times they will be there but it is a requirement to provide details of residence.
Athletes should provide the location/s where they reside regularly and should update UK Anti-Doping when the place of residence changes. This should be done as soon as possible e.g. moving house.
Whereabouts Filing Requirement 3
It is a requirement to provide details of the competition schedule, including exact dates, times and locations of all events the athlete is registered to participate in. Athletes are still required to provide a 60-minute slot on every day of the year including during the In-Competition period.
If an athlete exits a competition earlier or later than expected they must update their Whereabouts.
TIP: Athletes should work with their coach and support team to identify a competition schedule for the forthcoming quarter. If this changes for any reason, for example due to injury, Whereabouts Filings must be updated using ADAMS .
Whereabouts Filing Requirement 4
Athletes must provide the name and address of each location where they will train, work or conduct any other regular activity, as well as the usual time frames for these activities. Athletes are required to make any changes to their regular activities via ADAMS. They are not required to provide any last minute updates to their regular activities when there is an occasional change in schedule, Eg. if an athlete doesn’t attend a training session on one day. This does not apply if the 60-minute slot falls within this activity or if the details of their regular activity changes permanently.
Athletes will not be subject to a Missed Test if they are not available at their regular location (unless this is also the 60-minute slot) however submitting incomplete or inaccurate information may result in a Filing Failure.
TIP: By providing UK Anti-Doping with as much information as possible about regular activities, it provides UK Anti-Doping with a greater means of testing you outside the 60-minute slot, which reduces the risk of receiving a Missed Test during a 60-minute slot.
Other Whereabouts Filing Requirements
In addition, it is also a responsibility of the athlete to:
- Provide a complete mailing address (including postcode) to enable UK Anti-Doping or another Anti-Doping Organisation to make contact for notification purposes. This is essential so the athlete can be notified of Filing Failures, Missed Tests and Anti-Doping Rule Violations.
- Athletes with a disability should provide details of their disability on ADAMS to assist the DCO with planning and conducting testing.
- Provide sufficient information for a DCO or Chaperone to find the athlete at the specified locations.
